Why do we have a privacy policy?

Samuel Knight International is committed to privacy for everyone who uses our services and accesses our Website. We must comply with certain requirements which are designed to ensure that any data you provide to us is processed fairly and with care and attention.

What sort of data do we collect?

Samuel Knight International is an Employment Agency/Business
and collects personal data about you to provide you with work-finding services. Personal data consists of information including your name, address, e-mail address, National Insurance number, bank details (this is only for paying your invoices/wages), work and education history and your responses to and the results of assessments plus details of your eligibility to work.

On our website we Google Analytics, a web analytics service offered by Google that tracks and reports website traffic. On our website there is a banner; you can use this tool to change your cookie settings. Otherwise, we’ll assume you’re OK to continue.

We also collect and process sensitive personal data, such as information on physical and mental health, sexual orientation, race or ethnic origin, religious beliefs and criminal records only so far as is necessary and to comply with legislation.

How do we process this personal and special personal data?

We process this data as necessary to help find you suitable employment, to fulfil our obligations under our contract with you, such as processing invoices, payroll and processing your pension contributions if applicable and to comply with relevant regulations and legislation. We do not use fully automated decision-making or profiling to assess your suitability for roles.

Do we pass data to third parties?

We may pass data to Third Parties where we are required to by regulations or legislation, such as HMRC, to prospective or intended employers (or third parties assisting them in the recruitment process) and to our clients to allow you to carry out your temporary assignment with them. Where applicable, we may also pass data to your selected Umbrella Company or Pension provider.

If you are working overseas, we may from time to time transfer information internationally, we will insure privacy and data is protected at all times, more information is available upon request.

How is this data safeguarded?

The security of your data is extremely important to us. Access to your personal data is only provided to our staff and Third Parties as stated above. In general terms we keep information for 6 years to comply with the Companies Act We will retain your data no longer than is necessary; Because we process wages and invoices we need to retain data for 6 years after their last assignment ends to comply with our obligations to HMRC, and where applicable the Pensions Regulator and Limitation Act 1980. For Work-Seekers where we have not processed invoices or payroll, the Conduct of Employment Agencies and Employment Business Regulations 2003 dictate that we retain their data for 1 year. Following the relevant period we will dispose of your data securely.

If we suffer a data breach, e.g. a loss or theft of personal data we will inform the Information Commissioner’s Office (ICO) and if there is a high risk to you we will tell you.

Can you see the data we hold about you?

You have the right to make a subject access request (SAR) we will respond to you within 1 month; this can be extended to 2 months in certain circumstances. Please Note; we will ask to verify your identity before releasing the data to you. We will not charge you or refuse to respond to your SAR unless you have made repeated requests for the same information.

How do you correct or remove your data?

You have the right to request that we correct any incomplete or inaccurate data about you or that we delete data that we hold about you.

How do we let you know if our policy changes?

Any policy changes, either due to business reasons or future changes in legislation, will be posted on our website.
